Article 1. Purpose
The Corporate Booking Policy (the “Policy”) sets out the terms and conditions applicable to accommodation bookings made by businesses, organizations, government agencies, associations, travel agencies and other business partners through the official channels of Chill Global Hospitality & Management (hereinafter referred to as “Chill Global Hospitality”).
This Policy aims to ensure transparency and consistency throughout the cooperation process and facilitate the management of corporate booking transactions.
Article 2. Applicable Entities
This Policy applies to:
Domestic and international businesses;
Government agencies;
Non-governmental organizations;
Associations;
Schools;
Travel agencies;
Tour operators;
Partners entering into accommodation service agreements;
Entities requiring accommodation bookings for their employees, experts or customers.
Article 3. Corporate Account Registration
Businesses may register a corporate account through:
The official website of Chill Global Hospitality;
Corporate Sales Department;
Official email or Hotline.
Registration information may include:
Company name;
Tax identification number;
Registered office address;
Legal representative;
Person in charge of bookings;
Email address;
Phone number;
Invoice information;
Other information as required.
Chill Global Hospitality reserves the right to verify the information before activating the account.
Article 4. Corporate Agreement
For businesses that require accommodation services on a regular basis, the parties may enter into a Corporate Accommodation Services Agreement or Cooperation Agreement.
The agreement may specify:
Corporate room rates (Corporate Rate);
NET rates (if applicable);
Rate conditions;
Contract term;
Credit limit;
Payment terms;
Cancellation policy;
Committed number of room nights (if applicable);
Other benefits exclusively available to the business.
In the event of any inconsistency between the Agreement and this Policy, the duly executed Agreement shall prevail.
Article 5. Booking Process
Businesses may make bookings through:
Official website;
Email;
Hotline;
Corporate Sales Department;
Booking systems approved by Chill Global Hospitality.
Upon receiving a booking request, Chill Global Hospitality will:
Check room availability;
Verify the applicable rate conditions;
Send the Booking Confirmation;
Provide payment instructions (if required).
A booking shall only be considered completed once the business has received a Booking Confirmation from Chill Global Hospitality.
Article 6. Corporate Room Rates
Corporate room rates may be established based on:
Annual agreements;
Project-based agreements;
Business travel rates;
Group rates;
Long-stay rates;
Corporate promotional programs.
All rates may vary depending on:
Booking date;
Room occupancy levels;
Peak or low season;
Applicable hotel;
Contract terms.
Unless otherwise stated, room rates do not include applicable taxes, fees or surcharges as prescribed by law and the policies of each hotel.
Article 7. Payment
Businesses may make payment through one of the following methods:
Advance payment;
Payment after the services have been used;
Payment on credit terms (if approved);
Bank transfer;
Credit card;
Other lawful payment methods.
The applicable payment method shall depend on:
The Agreement;
Credit policy;
Risk assessment results of Chill Global Hospitality.
Article 8. Credit Terms
The granting of a credit limit is not an automatic entitlement of the business.
Chill Global Hospitality reserves the right to:
Approve or reject a credit request;
Adjust the credit limit;
Collect outstanding amounts;
Suspend credit booking privileges in the event of overdue payments.
The business is responsible for making full payment by the due date stated on the invoice or in the Agreement.
Article 9. Booking Cancellation or Changes
Businesses may request:
Changes to the stay dates;
Changes to the number of rooms;
Changes to guest names;
Cancellation of bookings within the permitted cancellation period.
Such requests will be handled depending on:
Room availability;
Contract terms;
The cancellation policy of each hotel;
The time at which the request is made.
Any applicable cancellation or amendment fees will be communicated prior to confirmation.
Article 10. Group Bookings
For groups exceeding the number of rooms specified by Chill Global Hospitality from time to time, the following may apply:
Group rate policy;
Deposit requirements;
Separate payment schedule;
Room release deadline;
Separate cancellation conditions;
Guest list submission prior to the check-in date.
Specific conditions will be agreed upon in the quotation or Agreement.
Article 11. Rights and Obligations of the Business
The business is responsible for:
Providing accurate information;
Making payments on time;
Promptly notifying Chill Global Hospitality of any changes;
Cooperating in resolving any issues that may arise;
Ensuring that its guests comply with the hotel’s rules and regulations.
The business shall be responsible for any damages arising from inaccurate information or violations committed by guests whose bookings were made by the business.
Article 12. Rights and Obligations of Chill Global Hospitality
Chill Global Hospitality is responsible for:
Providing services in accordance with the Booking Confirmation;
Protecting the confidentiality of business information;
Providing reasonable assistance in handling requests;
Issuing invoices in accordance with applicable laws.
Chill Global Hospitality has the right to:
Refuse requests that do not meet the applicable conditions;
Temporarily suspend the provision of services if the business breaches the Agreement or has overdue outstanding payments;
Amend policies in accordance with applicable laws or operational requirements.
Article 13. Confidentiality of Information
Business information and guest information will be collected, used and protected in accordance with Chill Global Hospitality’s Personal Data Protection Policy.
Chill Global Hospitality undertakes to use such information only for lawful purposes related to the provision of services and the performance of contractual obligations.
Article 14. Force Majeure
Chill Global Hospitality shall not be liable for any delay or inability to perform its obligations due to force majeure events, including but not limited to:
Natural disasters;
Epidemics;
Fire;
War;
Terrorism;
Widespread power outages;
System failures;
Decisions of competent government authorities;
Other events beyond the reasonable control of Chill Global Hospitality.
In such circumstances, the parties shall act in good faith and cooperate to seek an appropriate solution.
Article 15. Dispute Resolution
Any dispute arising between the parties shall first be resolved through negotiation and amicable settlement.
If no agreement can be reached, the dispute shall be resolved by a competent court in Vietnam, unless otherwise provided in the Agreement between the parties.
Article 16. Effectiveness
This Policy shall take effect from the date it is published on the Website of Chill Global Hospitality and may be amended or supplemented from time to time.
The latest version shall always be published on the Website and shall supersede all previous versions.
